Job Description:

ONSITE ROLE - Looking to start ASAP New Hires On-Boarding Tickets --- 20% --- Assign new and used hardware --- Assign laptops and iPads from Available ITAM inventory and deliver to ServiceDesk team for imaging --- Allocate laptops and iPads for new hires and TVC based on job description listed in the ticket --- Scan ServiceNow ticket queue under asset management and look for ticket with ---Check Site Stockroom for HW fulfillment--- in ticket description --- Identify starting location and assign tickets managed by Pleasanton ITAM to yourself --- Move onboarding tickets for other site to their respective service desk queues --- Hardware will be assigned as follows Regular FTEs --- New or like new current generation laptop Contractors --- Good working condition laptops --- second gen or current generation hardware with minor imperfections --- Ensure the laptop/iPad is in good working condition --- Clean laptop --- Allocate asset to new hire in ServiceNow --- Update Asset Management task ticket with asset allocated --- Update asset status in ServiceNow --- Print task ticket for ServiceDesk --- Attach ticket to laptop and place in designated area in the imaging room Off Boarding tickets --- 35% --- Process all off boarding tickets within one business of employee exit --- Scan ServiceNow tickets under asset management and identify off boarding tickets. Off boarding tickets can be identified with the following headers o Asset Recovery --- Please acquire hardware / mobile device o Recover and hold asset Recover Assets --- Move all tickets in open/draft status to your queue --- Review each ticket to determine if recovery is local (on campus) or remote (off campus) --- Remote recoveries tickets will require shipping a remote asset recovery (RAR) kit --- Pull the mailing address from off boarding RITM --- Update address field in asset recovery ticket --- Ensure recovery ticket is successfully submitted to CTL ticket queue --- If errors in CTL delivery ticket, fix error/s and resubmit until the ticket is successfully sent to the CTL queue --- Update status on asset recovery tickets to pending and assign the ticket to yourself --- Review CTL tickets daily to ensure tickets are updated with tracking numbers --- Update asset management recovery tickets with tracking numbers and chance status to work in progress --- Monitor deliveries from shipping &receiving --- Process all remote asset recovery kits immediately --- Once asset is recovered, update asset status in ServiceNow. All returns laptops and iPads are placed on a mandatory 14 hold --- Close asset recovery ticket in your queue --- Review off boarding RITM and pull managers task --- Close managers task as per process / instructions --- Pull assets coming off the 14 hold --- Pull off boarding RITM for the exiting employee --- Look if the legal team have closed its tickets --- Open Legal tickets to determine if the exiting employee is on Forensics hold --- If user is on forensics hold, update asset status in ServiceNow and move the asset into secure forensics cage --- If user is not on forensics update hardware status in ServiceNow as follows o In stock / available o In stock / Pending disposal --- if asset is non deployable o In Stock / Maintenance --- if asset is under warranty and needs repairs --- Move non deployable inventory into ITAD cage --- Move deployable hardware into ITAM room 117 for redeployment Service Catalog Accessories tickets --- 20% --- Process all accessories tickets submitted by users supported by Pleasanton ITAM --- Accessories tickets include including but not limited to monitors, docking stations, keyboards, mouse, headphones, Power adapters, cables and connectors --- Accessories tickets can be identified in ServiceNow by the following headers o Order Requested hardware o Check Asset Availability --- Scan Asset management queue in ServiceNow and assign all accessories tickets in open/draft tickets to your queue --- Group all like tickets together and pull the needed inventory from ITAM stock --- Process one batch of like items tickets first then move on to the next batch of like item tickets --- All Pleasanton back office tickets are delivered to the users desk --- All remote / work from home requests are shipped --- For tickets that needs shipping, create a shipping label using UPS portal --- Print shipping label --- Box the requested item in an appropriate shipping box --- Seal the box and place the shipping label --- Deliver boxed items to a designated area identified by shipping / receiving team Work From Home Kits o Work from home (WFH) kits are ordered through SHI and delivered directly to users mailing address o Once WFH kit request is received, request a quote from SHI o Once quote is received, open a requisition through D365 o Ensure the cost is charged to the requesters cost center o Change ticket status to work in progress o Monitor shipping report from SHI every morning o Once SHI provides a shipper tracking number, update TASK/RITM with the tracking and expected delivery date and close complete ticket Physical Inventory --- 10% --- Accessories --- weekly o Perform a physical inventory of all accessories stocked in Pleasanton and provide a count to ITAM manager --- Hardware --- monthly o Perform hardware count of all in stock laptops, tablets, and mobile devices for the Pleasanton stockroom o Compare physical count against counts in ServiceNow o Reconcile and report variance to management Restocking --- 5% --- Receive hardware from suppliers and receive them in ServiceNow within 24 hours of receipt --- Receive accessories orders, unpack and place in respective shelves/bins within 24 hours of receipt Administrative duties --- 5% --- Respond to email and pings from users --- Communicate with vendors on outstanding orders Housekeeping --- 5% --- Make sure ITAM room is kept neat and orderly --- Flatten and remove all cardboard boxes from shipments received and place them in designated recycling area --- Ensure inventory shelves are kept organized and clearly labelled with items s service now,inventory management ,Microsoft Excel,lift,LBS,ITAM,shelves/bins ,TASK/RITM ,Hardware,laptops, tablets,Mobile devices,Reconcile, D365, tickets ,monitors, docking stations, keyboards, mouse, headphones, Power adapters, cables ,shipping &receiving,RITM,IPads,hardware / mobile , imaging ,onboarding tickets ,ServiceDesk,Asset management,excel,shipping,shipments
